2. We will provide hard copies via shipping and we will pay for the shipping of the files to the Service provider and return shipment to us.
3. Service Provider needs to ensure that all the documents must be returned to the originating office in the original case file.
4. The Service Provider needs to transfer the scanned document images and indexes within an agreed upon timeframe for each file batch. The turnaround time for scanning, indexing, and transferring the indexed images to us will be based on the selected transfer method.
5. Our preferred method of transfer is by removable media such hard drives. We may opt for the Service Provider to transfer scanned images via the internet or a connection to our internal network if such a transfer method is deemed to be cost-effective and within the constraints of existing bandwidth limitations.
6. The Service provider shall provide reports on the number of documents scanned by them.

3. Service Provider must guarantee 99.5% accuracy in the indexing, or keying, of all indexed information and reports must be provided with each imaged book as to the number of pages, index lines and total keystrokes contained in each file or book with the book number and total number of pages in each book.
4. Each digitized image and index file will be reviewed by us and service provider needs to make adjustments required to improve image quality.
5. The image polarity should be positive, with black letters on white background.
6. Due to the daily use of the books being scanned and to minimize the downtime and disruption all on-site scanning must be completed within One (1) week.
7. Service Provider must guarantee 100% image capture through rescans and additional onsite visits to correct any poor quality images or missed documents at no additional cost to the Clerk for a period of 365 days after completion of initial project.

t) Address Clean-up (includes address correction and zip code correction).
u) Procedure to parse outlines of address in preparation for duplicate elimination process.
v) Lists reports and National Changes of Address (NCOA) services.
w) Use of multiple suppression files including the Direct Marketing Association’s pander file.
x) Data cleansing for deceased file processing.

We are Mumbai, India based organization looking for qualified and experienced service providers for our requirement of Document Scanning and processing. Total work contract is for one Year.
Scope of services:

1. The provider will collect (with in Mumbai), scan, sort, and arrange serially the provided documents.
2. Total Quantity of work will be 300000 forms and may vary as per actual requirement but in any case, will not exceed +/- 25% of the total.
3. The provider will be responsible for completion of work within days specify in work order.
4. All hardware including computers, scanners shall have to be arranged by provider.
5. The work will be done at our premises in Mumbai and the contract will be for 1 year.
6. All the reports will be defined at the time of initial discussion. Service provider needs to provide printed report whenever asked.
7. All the scanned data should be submitted via Data CDs.
