We are Contraction Authority of UK wish to appoint suppliers onto a framework agreement for scanning services for planning and building control records and other Council documents and supply of electronic files/data.
It is anticipated the agreement will include collection, transport, storage and/or disposal of documents. The agreement may relate to a range of documents across various Council departments. We arecurrently utilises software to manage scanned planning applications. The planning and building control solution must link scanned documents to the software, as well as providing a high standard of management information. The transition from the paper to scanned documents must be seamless, with minimal system downtime and documents scanned must be accurate, secure and in PDF searchable format. File storage and easy retrieval will be required for large applications that the Council do not want destroyed (such as major applications), as well as day-to-day access to operational Planning and building control files.
Prospective suppliers must demonstrate commitment to Quality systems, Best Value, Continuous Improvement and Innovation. This however must not compromise value for money and service flexibility aspects. Scanning, technical back-up, electronic archive and retrieval may be used by all Council departments on a call off basis and by other local authorities comprising the Association of us and other public bodies.
The pre-qualification questionnaire must be returned in hard copy to the appropriate contact.
Companies are asked to register their details by emailing, stating Company name, Contact name, Telephone number and tender required.
We will use this information to contact you if the tender documents are amended in any way.
The deadline for all expressions of interest by way of completed pre-qualification questionnaire is on Tuesday 23 October 2007.
So interested suppliers must send their requests before the deadline.
